Part-time Position: 12-15 hours/week

As a church without an office, the Church Administrator functions as a virtual office and as such is the point person for communications tor the church. This includes managing the day to day financial, organizational and technical tasks associated with running a church in a manner consistent with the values, vision and goals of the Guelph Vineyard.

Primary Duties and Responsibilities:


-Monitor the budget, preparing monthly updates for the Board, tracking cash flow
-Liaise with the accountant, providing needed documentation
-Monitor Offering, deposits and charitable postings
-Reconcile all donations and issue charitable receipts
-Write and distribute cheques
-Track funds donated and spent for Church ministries (missions, outreaches etc)

Point Person:

-Act as the main contact person on behalf of the Guelph Vineyard for CRA, Insurance, CCLI etc
-Act as point person for purchases, leases and rental contracts
-Support major purchases by researching best quality, pricing to meet church needs


-Manage email
-Pick up and process mail from local UPS store
-Send weekly communication to our congregation informing them of opportunities, information and events
-Regularly update the congregation’s contact information
-Oversee the church’s online presence – website, social media etc

Event Coordinator:

-Oversee all bookings for venues, both regular Sunday meetings and special events
-Co-ordinate volunteers for Sundays and special events
-Monitor police checks for all ministry volunteers
-Provide support for online gatherings (zoom, livestreaming services)


-Prepare printed materials for meetings
-Coordinate schedules and book meetings for Leadership Team and the Pastor
-Take and distribute Minutes for Board and LT meetings
-Liaise with the Pastor on a weekly basis

Advise and support the LT, Board and Pastor:

-Act as a sounding board
-Share insights and information
-Encourage and pray



-Commitment to the vision, mission and goals of the Guelph Vineyard
-Attendance at Guelph Vineyard Church is preferred


-One year of post-secondary education


-Two years of Office Administration experience


-Computer literacy: Competent with word processing, spreadsheet and presentation software (e.g. MSWord, Excel, Google Docs)
-Competency with financial systems (budgets, accounting, financial management): Quickbooks, Excel and basic accounting protocol
-Bookkeeping training/experience an asset
-Excellent written and verbal communication skills
-Excellent organizational skills: self motivated and good at prioritizing. Able to manage a broad variety of tasks and people on a regular basis
-Works well within a team and under direction
-Proficient with the internet, email and social media


-Conscientious: Able to complete multiple weekly tasks consistently and without reminders
-Trustworthy: The C.A. is privy to confidential information and must hold important information about individuals and church business without disclosure
-Flexible: The C.A. must maintain a joyful disposition and a people-oriented approach while problem solving viable alternatives when situations change.
