Muskoka Woods is a Christian youth development organization that welcomes everyone to an experience for a lifetime. Located on the shores of beautiful Lake Rosseau, we specialize in summer camp, school trips, group retreats and leadership development for all ages. We exist to inspire youth to shape their world.

 

Job Title:                 Registrar of Resort Programs / Office Manager

Reports to:               Director of Schools and Groups

Employment Status:     Full Time (salary plus benefits)

Location:                 Rosseau, Ontario

 

Job Purpose:

To deliver quality customer service to our guest groups through detailed management and communication of all bookings and office management.

 

Key Results Areas:

 

Bookings Management

●        Ensure excellent communication of program offerings, availability and pricing

●        Manage the booking calendar to maximize use of the Resort

●        Manage scheduling of all accommodations and communicate in a timely manner to meet all guest group and Resort departments’ deadlines

●        Create, send and manage contracts with all groups

●        Work with Guest Services Coordinator to plan Schools and Groups year with regard to guest group

●        Liaises with guest groups during their stay, problem solve as needed to ensure a seamless guest experience

●        Collect deposits and final payments from all groups and process all payments

 

Customer Relationship and Engagement

●        Create positive MW guest relationships

●        Develop and maintain an active relationship management strategy for customer groups

●        Proactively identify guest group issues and collaborates with the group and department members to solve in a timely manner

●        Personally engage in and maintain relationships with our top customers, ensuring their satisfaction and loyalty

●        Actively participate in the implementation of Muskoka Woods larger engagement strategy of our customers, Alumni and donors

●        Keep accurate records for customer relationship management

 

Office Management

●        Ensure all office equipment is maintained and in good working condition

●        Manage office coverage, incoming/outgoing mail, courier services and requests, lost and found, and contractors/visitors on site

●        Manage office supplies and order supplies as request by Resort members

●        Answer the phone and direct calls accordingly

●        Ensure the office is clean and organized

 

Financial Reporting

●        Complete and report on month end financials

●        Track and update financial projections

●        Produce reports as needed or requested

●        Assist in bi-annual audits

 

Administrative Support

●        Provide administrative support to the Director of Schools and Groups (Level 10 meetings, booking meetings and departmental communication)

 

Other

●        Participate in meetings as required

●        Participates in all corporate events including Town Hall, the Arboretum, and annual Staff Retreat

●        Personal/Professional development as required

 

Qualifications/Experience required:

●        Related University/College degree or equivalent experience

●        1 to 3 years customer service, office, administration and/or guest relations experience

●        Willingness to work in the Resort office.

●        Desire to work in non-profit industry

●        Passion for youth ministry, leadership development and outdoor recreation

●        Proven ability in administration, organization, planning

●        Strong problem solving and logistics skills including scheduling

●        Excellent interpersonal skills

●        Exceptional communicator both oral and written

●        Ability to handle multiple high priority tasks in an interruptive environment

●        High energy and positive attitude

●        Ability to initiate independently as well as work effectively on a team

●        Attentive to detail

 

Essential Functions Required:

●        Ability to sit, talk, hear, see and use hands and fingers to operate a computer and telephone

●        Ability to sit at a computer terminal for an extended period of time

●        Ability to communicate both written and verbal with guests and staff
